Abstract Submission
The online upload of extended abstracts closed on 15 February, 2009. Submitters of accepted papers will receive a reduced conference fee.

Accommodation
AAccommodation costs are not included in the conference registration fee. Attendees are responsible for making their own lodging arrangements. For a list of hotels, please see “accomodation” on this website – special rates for early bookers will be available in some of the hotels. As there are several big events in Berlin during the SolarPACES 2009 conference, we urgently recommend booking the hotel room very soon!

Awards

Cancellation Policy
Registered conference participants who cannot attend the conference will be refunded as follows:

Substitutions are welcome at any time. If you wish to substitute a participant, please contact the SolarPACES 2009 conference secretariat at your earliest convenience.

Cancellations of the registration have to be made in writing to the conference secretariat at PSE AG, Emmy-Noether-Str. 2, 79110 Freiburg, Germany, email. More Details will be published on the conference website under "Terms and Conditions" paragraph 6.

Book of Abstracts
The printed book of abstracts, containing the extended abstracts of accepted papers and posters, is free of charge for all conference attendees and will be included in the conference bag.

Catering
Food and drinks during the congress are included in the conference fee for all participants, as well as participation in the welcome reception, the conference dinner and the happy hour bar.

Certificate of Attendance
The certificate of attendance for regular delegates and students will only be available on-site and cannot be issued after the congress.

Conference Bag
The conference bag will only be handed out at the registration desk at the conference site. It will include the conference program, the book of abstracts, the conference proceedings, sponsor information and other documents.

Conference Dinner
The conference dinner will take place on Thursday, 17 September, 2009 from 8:00pm-12:00am. Participants are requested to wear and clearly display their name badge at the conference dinner in order to gain access. Although the conference dinner is included in the conference fee (except for student rates), we kindly ask you to register for this event during the registration procedure. Students and accompanying persons are requested to book conference dinner tickets separately (€85.00).

The national currency in Germany is Euro (€)

Data Protection
The personal information provided by the conference attendees will be held on a database. Credit card information will NOT be stored on this database. The email addresses will be used to circulate the SolarPACES 2009 newsletter, last minute details and announcements of future SolarPACES events. The data will not be given to any third party not related to the SolarPACES conference.

Early Bird Registration
Early Bird Registration ended on 30 April, 2009. Online registrations are possible till the beginning of September, 2009 at the normal price . You may also register directly at the conference (also at the normal conference price), subject to availability of spaces.

Force Majeure
If for any reason beyond SolarPACES 2009’s reasonable control (including but not limited to: strikes; acts, regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; acts of God) it is impossible to run an event, SolarPACES 2009 is relieved of all obligations and reserves the right to retain delegate fees as a contribution to all venue and administrative costs incurred.

Happy Hour Bar
A sponsored happy hour bar will be open on Tuesday and Wednesday after the conference sessions. It is free for all conference participants. Participants are requested to wear and clearly display their name badge at the happy hour bar in order to gain access.

Insurance and Liability
The congress organizer cannot accept liability for personal injury, loss or damage to belongings of conference participants, either during or as a result of the congress. Please check the validity of your own insurance policies

Language
The official language used throughout the conference and in the related publications is English.

Letter of Invitation
Delegates must have registered and paid the required registration fees before requesting an official letter of invitation. All requests should be sent in due time by e-mail to email. Please note that the SolarPACES 2009 conference organizers will not be able to contact or intervene with any embassy or consulate office on behalf of a delegate. The letter of invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to the conference are the sole responsibility of the attendee.

Name Badge
The name badge is required for admittance to all conference sessions and events. Each participant is asked to wear and clearly display the name badge at all times during the conference in order to gain access. The name badge will contain first name, last name and institution/company of the attendee.

Opening Ceremony
The opening ceremony will take place on 15 September, 2009 from 09:00-11:30 at Hotel Berlin, the conference venue.

Paper Submission
The paper submission is closed.

Passport & Visa Requirements
Delegates from countries within the European Union (Schengen Area) will only need a valid ID or passport to travel to Germany. It is the sole responsibility of all other delegates to contact the nearest German embassy or consulate for visa details. Please be sure to allow sufficient time for the application procedure!

Poster Area
The posters will be presented in an area very close to the conference sessions. All poster presenters are asked to mount their posters well before the conference and to be present during the times of presentations. The poster presenters will be provided with material and the exact location of where to attach the posters to the poster walls. The posters must not be removed before the end of the conference.

Poster Information
You are free to design and layout your poster as you wish. The only requirement is in regards to the format:

Please note that institutes and universities often have specific requirements regarding posters from their institutions. We recommend that you choose a type size which is legible from a distance of 1-3 m.

Posters may be put up starting Monday, 14.09.09 at 6:30 pm. You are responsible for printing the posters in advance and for putting them up at the conference site. Push-pins will be provided.

Pre-Dinner Welcome
A sponsored Pre-Dinner Welcome will be held on Thursday, 17 September, 2009. The Pre-Dinner Welcome is included in the conference fee (except for student rates). Participants are requested to wear and clearly display their name badge at the Pre-Dinner Welcome in order to gain access.

Proceedings
The conference proceedings, containing papers of the oral and poster presentations as well as presentations by the SolarPACES 2009 sponsors, are free of charge for all conference attendees and will be included in the conference bag.

Program
The SolarPACES 2009 conference program, with details on the scientific and social program, will be published and regularly updated on this website click on Scientific Program.

Furthermore, a printed copy will be included in the conference bag, which will be handed out at the conference. Although details will be correct when sent to the printer, SolarPACES 2009 reserves the right to cancel, postpone, relocate or change any of the sessions or to add new sessions and to make changes regarding speaker identity..

Registration
As long as tickets are still available, online registration will be possible till September 11, 2009 using a credit card. As capacity is limited, registrations will be handled on a first-come, first-serve basis. Conference registrations will not be confirmed until the completed form and the correct payment is received and processed by the SolarPACES 2009 conference secretariat. Payment for on-site registration must be made using a credit card.

Registration on site
All participants must check in on arrival at the conference. The registration desk will be open on Monday, 14.09.09 from 5:00 pm to 8:00 pm. and on Tuesday, 15.09.09 from 8:30 am to 8:00 pm.

Afterward, registration will be possible at the information desk on
Wednesday, 16.09.09 from 8:00 am to 7:30 pm,
Thursday, 17.09.09 from 8:00 am to 7:00 pm and on
Friday, 18.09.09 from 8:00 am to 4:30 pm.

Sightseeing Tours
On Wednesday, 16 September 2009, 7:30pm- 9:30pm (approx.)

You will visit prominent political sites such as the Federal Chancellary, historical sites including Checkpoint Charlie and famous buildings like Brandenburg Gate and Charlottenburg Palace. The professional tour guide will show you around on a combined bus and walking tour.

Smoking Policy
Due to German law, smoking is not allowed in any part of the conference venue.

Speakers’ Room
All presentations must be handed in in the speakers’ room at least 2 hours prior to their presentation in order to check and input the data.

Student Rates
Students enrolled at an accredited university will pay the reduced student conference fee. All student discounts are at the organisers' discretion, and proof of status (valid student ID card) is required. During the registration procedure, students will be sent a link where they must upload a scan of their student ID, and must present their original student identification card on-site in order to receive their name badge. Discounts must be applied when registering – discounts cannot be applied after the booking has been processed. The conference dinner is not included in the student rate. If sessions are expected to be crowded, students have to attend a video transmission instead.

Technical Tour
The technical tour is full. The technical tour will be a trip to the Solar Power Project in Jülich and will take place on Saturday following the conference. The tour will begin early in the morning of 19 September, 2009 at Hotel Berlin, Berlin and end in the evening in Cologne. After lunch you will return to Cologne to visit the German Aerospace Center, the national center for aerospace, energy and transportation research. WARNING: It's a one way trip! Participants must plan their own return trip from Cologne according to their individual travel plans.
